Refund and Cancellation Policy
Billing, cancellation, refunds, and pilot programme terms for Testlaa.

1. Scope
This Refund and Cancellation Policy ("Refund Policy") applies to paid subscriptions, pilot programmes, add-on modules, and professional services purchased from Freshbix for Testlaa, unless a signed order form specifies different terms.
Free trials, sandbox environments, and institution-managed student access provided without separate charge to students are not billable to students unless explicitly stated.
2. Subscriptions and billing cycles
Institutional subscriptions are typically billed annually or per academic term as stated in the order form. Invoices are due within the payment period specified on the invoice unless otherwise agreed.
Usage-based components (such as additional active students, exam sessions, or premium modules) are billed according to the metrics and rates in the order form or pricing calculator proposal.
3. Cancellation by institution
Institutions may cancel renewal by providing written notice before the renewal date specified in the order form. Cancellation stops future renewals but does not automatically entitle the Institution to refunds for the current prepaid term except as stated below.
Early termination of a committed term may require payment of early termination fees specified in the order form or MSA.
- Send cancellation requests to legal@testlaa.com with account name and order reference.
- We will confirm effective dates and data export windows.
- Administrative access may remain available during an agreed wind-down period.
4. Refund eligibility
Because Testlaa is a B2B SaaS platform with provisioning costs, refunds are limited except where required by law or expressly stated in writing.
- Duplicate payment or billing error: full refund or credit of the erroneous amount after verification.
- Service not provisioned: refund or credit if we fail to activate paid access within the agreed onboarding window and do not cure within a reasonable period.
- Material service failure: credit or partial refund if we fail to meet a signed SLA and the Institution submits a valid SLA credit claim.
- Pilot conversion: pilot fees may be credited toward the first paid term if stated in the pilot agreement.
- Change-of-mind after activation: generally non-refundable for the current term unless required by applicable consumer law (typically not applicable to institutional B2B contracts).
5. Non-refundable items
The following are generally non-refundable once delivered or incurred:
- Completed onboarding, training, or custom integration services.
- Third-party pass-through costs already incurred on the Institution's behalf.
- Consumed usage above included entitlements (for example, additional exam attempts already delivered).
- Taxes, payment gateway charges, and currency conversion fees.
6. Chargebacks and payment disputes
Institutions should contact payments@testlaa.com before initiating chargebacks so we can investigate billing issues. Unwarranted chargebacks may result in suspension pending resolution and recovery of associated fees.
7. Downgrades and plan changes
Downgrades take effect at the next renewal unless otherwise agreed. We do not provide retroactive refunds for unused features in the current term when downgrading mid-term, but we may offer credits at our discretion for exceptional circumstances.
8. Data after cancellation
After cancellation, Institution data may be available for export for a limited period (typically 30 days unless otherwise stated). Extended retention may incur storage fees. Thereafter, data is deleted according to the Privacy Policy and backup schedules, subject to legal retention obligations.
9. Mandatory consumer rights
Nothing in this Refund Policy limits non-waivable rights under applicable consumer protection laws where the purchaser qualifies as a consumer. Institutional B2B purchases are generally not consumer transactions.
